Designers Coordinator

SOUK, which is under the umbrella of L’Organisme Schéma, is looking for a Designers Coordinator.

The designers coordinator actively contributes to the success of SOUK and the organization’s activities. He / She acts as a liaison between the internal team and the designers in order to carry out the projects. He / She coordinates the call for projects and performs regular follow-ups with designers while ensuring respect for the image and brand of the organization. He / she ensures a presence during events and experiences in order to support designers and meet the various demands of producers.

  •  Entry into post as soon as possible
  • Schedule : variable and flexible depending on the projects and deliverables (between 5 to 35 hours / week)
  • The schedule may include weekends and evenings
  • The candidate must have his or her computer equipment
  • Part of the work can be done remotely or in the office according to the standards in force.

1. Coordinate the call for proposals

  • Coordinate activities related to the call for projects (open house for the presentation of the designers)
  • Manage logistics for jury members: room reservations, food, agenda
  • Manage applications and follow up with selected and non-selected designers


2. Coordinate and support the participating designers

  • Follow up daily with the designers for any questions or updates and provide them with all relevant information for the smooth running of activities
  • Gather information on each of the designers’ products
  • Prepare and follow up on the pre and post-prod schedule in collaboration with the internal team
  • Respond to various requests from content producers related to the designer and their product
  • Coordinate the designers and ensure that deadlines are met
  • Conduct a satisfaction survey with the designers and follow up with them after the event on the media and economic benefits


3. Collaborate with the various internal teams to ensure the effectiveness of the various projects

  • Communicate to the internal team any changes, updates regarding the designers or the project (communication, accounting, experience, and event producer)
  • Act as a liaison between the designers and the internal team


4. Manage the administrative aspect

  • Maintain project schedules and budgets, as well as internal documents: list of contacts, contracts, website for project and designer procedures, if needed
  • Perform administrative tasks: follow up with insurance companies, archiving, and follow up on agreements with designers
  • Write post mortems and report for improvement
  • All other tasks related to the position
  • University degree in a related field (project management, communication, administration)
  • At least 3 years of experience in a similar position
  • Fluency in French and English both orally and in writing
  • Fluency / knowledge of several project management applications (full list in the announcement)
  • Good knowledge of the design industry
  • Excellent sense of organization, priorities and rigor in follow-ups
  • Excellent communication and interpersonal skills
  • Team spirit and the ability to adapt and work with various profiles and tight deadlines
  • Demonstrate diplomacy, impartiality and integrity
  • Dynamism, autonomy, resourcefulness, and sense of initiative
  • Ability to meet and adapt to tight and changing deadlines and to work under pressure
